Review, correct, and resolve time entries
Who can do this: Admin, Manager
By the end of this article, you will have reviewed your crew's time entries for the week, corrected an entry, and resolved any entry marked "Needs resolution". A time entry is one stretch of time on a crew member's record, from a clock-in to a clock-out, or one break. An entry needs resolution when it was clocked in and never clocked out, long enough ago that the crew member can no longer close it themselves.
Before you start
- You are an admin or a manager. A foreman can correct entries too; a crew member sees the entries but no Correct button.
- Your crew has clocked in and out: see Clock in, take a break, and clock out on your phone.
Steps
- Open time tracking. On a computer or tablet, select Time Tracking in the sidebar. On a phone, select More at the bottom of the screen, then select Time Tracking.
- Review the week under "This Week". Each entry shows its project, its hours and the date and time it started. A break is marked "Break".
- If a "Needs resolution" section shows above the week, it lists the entries that were never clocked out. Select Correct on one of them.
- For an entry that needs resolution, enter the date and time the work ended under End. For any other entry, change the value that is wrong. The panel shows the End date and time, the Start date and time, and the project.
- Select Save Correction.
- To correct an entry in the week, select Correct on its row and repeat steps 4 and 5.
What you see
- After Save Correction, the app shows "Entry corrected" for a moment and the correction panel closes. The entry shows "Corrected" followed by the date and time of the correction, and its hours are worked out from the new times.
- If the entry's new date falls before the week shown, the entry leaves the list and the page says "Entry corrected - it is dated outside the selected week's window, so it does not appear in the list below." To see it, select the left arrow under the week's dates until you reach its week.
- An entry you resolve leaves the "Needs resolution" section. When no entry needs resolution, the section is not shown.
If something blocks you
- "Change a value before saving." after Save Correction. Nothing in the panel has changed. For an entry that needs resolution, the End time is still empty: enter it, then select Save Correction again.
- "End time must be after the start time." The End date and time come before the Start date and time. Check both dates, then the times.
- "Cannot save this correction: it would end in the future, and time is recorded after the work is done. Check the date, then save." The End date and time are later than now. Enter the time the work really ended.
- "Cannot save this correction: a single entry cannot be longer than 23h 59m. Check the dates, or record the shift as two entries, then save." The End is more than a day after the Start, for example because the End date is a day too late. Check the End date. If the work really ran that long, record it as two entries, as the message says.
- "Enter an end time before saving. This entry has one recorded; clearing the field does not remove it, and reopening a closed entry is not available on this form." The End time box of an entry that already has an end is empty. Enter the time the work ended; an entry's end cannot be removed in this panel.
