Send an estimate

Who can do this: Admin, Manager

By the end of this article, you have your estimate as a PDF file to send to your client, and the estimate is marked sent. Marking it sent locks it. The app says what that means when you mark it: "Marking this estimate as sent will lock it for editing. This does not email the client — download the PDF to send it yourself; email delivery is coming." Once it is sent, the estimate shows "This estimate is locked and can no longer be edited."

Before you start​

You need a draft estimate. See Create an estimate.

Steps​

  1. Open your estimates. On a computer or tablet, select Estimates in the sidebar. On a phone, select More at the bottom of the screen, then select Estimates.
  2. In the list, select the draft estimate.
  3. Select Download PDF. The PDF file downloads, named with the estimate's number.
  4. Send the PDF file to your client yourself, for example attached to an email.
  5. Select Mark as Sent.
  6. Read the message, then select Mark as Sent in it to confirm. Select Cancel instead if the estimate still needs changes.

In the estimates list, a draft also has a Mark Sent button. It asks the same question, in a box headed "Confirm Action".

What you see​

  • The app shows "Estimate marked as sent", and the estimate's status reads Sent, in the list too.
  • The estimate shows "This estimate is locked and can no longer be edited." Its lines, client, project, taxes and discount are greyed out, and Save and Mark as Sent are gone.
  • Download PDF is still offered on the sent estimate.
  • The estimate now offers Record acceptance, Record decline and Revise. To change a sent estimate, you revise it, which makes a new version you can edit. See Record the customer's decision and revise an estimate.

If something blocks you​

  • "Estimate already sent" after you confirm Mark as Sent. Someone else marked the same estimate sent while you had it open, so it is already sent and locked. There is nothing more to do.
